Status and scope
This policy covers the Tactenza website and Tactenza Player and Tactenza Coach, including features only where enabled. It includes Coach Studio pages opened inside the Coach app as well as in a browser. Tactenza Player and Tactenza Coach are preparing for an iPhone-first release in Australia. Features described here process information only where they are enabled and used; this document does not activate an unavailable service or retrospectively change an earlier policy acceptance.
PlayBoard Hoops has its own privacy and support pages. This policy does not replace them or apply PlayBoard advertising disclosures to Player or Coach. The support page links to the separate PlayBoard documents.
Who operates Tactenza
We operate under the registered business name Tactenza (ABN 22 622 135 155) in Australia. For support, privacy requests or complaints, contact tactenza@outlook.com.
Information you provide and create
- Account and profile information: email, sign-in identifiers, display name, public Player or Coach ID, roles, adult declarations, managed-athlete and guardian relationships, sport, age group, gender identity and height where an adult supplies them for a private roster/profile, and preferences.
- Training and coaching information: skill assessments, progress, Player Cards, challenge results, plans, tasks, coaching feedback, selected photos or videos and the records associated with them. A profile may describe a child even though an adult operates the account.
- Class and workspace information: terms, schedules, venues, class listings, rosters, selected import images or documents and extracted text, Organization logo images, attendance, invitations, requests, class-related inquiries, staff roles and authorized workspace-transfer records. A class inquiry is not a general private messaging service.
- Play and safety information: selected courts, game times and participation, host updates, game-related responses, Play Again connections, invitations, blocks, reports, reported-content snapshots and moderation records where those features are enabled.
- Purchases and class payments: seller contact email or phone and optional business addresses supplied for invoices or receipts, subscription product and transaction references, entitlement status, class payment requests, recorded amounts and status, provider references, receipt links, refund or dispute information and the provider-account information needed for an enabled payment connection.
- Website feedback: the category, title and description you submit, linked to your signed-in account, submission times, status and team responses. Your submission and response are visible to you and authorised Tactenza staff. For a selected sport, we publish a separate team-written sport name, scope, commitment dates and verified release details, not your submitted text or account identity.
- Service and support information: consent records, device push tokens when registered, delivery state, request and security logs, and the information you choose to include in support correspondence. Website hosting also processes connection information needed to deliver and protect the site.
How information is used
- Sign you in, restore account and training information, apply account roles and operate the features you use.
- Connect authorized Players, guardians, Coaches and Organization staff with the relevant classes, plans, feedback and records.
- Provide optional AI feedback, card generation or file formatting after the applicable action, and maintain the result and allowance records associated with a request.
- Record purchases or class-payment status, deliver enabled service notifications, respond to support requests and keep services reliable.
- Investigate reported content, prevent abuse, protect account and service security, and preserve records needed for an unresolved payment, safety or legal matter.
Visibility, children and photo sharing
Coach and Player accounts are operated by adults. An adult may manage a child's athlete profile and permissions. An adult declaration records what the account holder confirms; it does not prove identity, age or guardianship.
Public Coach profiles and class listings contain the information deliberately published for discovery. Private rosters, training feedback, account email and payment details are not general public listings. Access within an Organization depends on the person's role and assigned classes.
Player photo sharing with a connected Personal Coach or Organization has its own permission controls. Choosing a photo for a Player Card, sending media for AI, and sharing a photo with a Coach are different actions. Revoking supported photo sharing changes future authorized access; it cannot recover a copy already separately saved by a recipient.
Play visibility depends on the game relationship. Discoverable game information can include the selected court, time, public Player ID, display name and shared Card reference. Private connections, blocks, reports and moderation information are not public profile fields.
Optional AI features
If you request an AI review, selected video (including any audio present) and the relevant sport, age-group, skill or challenge context are sent through Tactenza's Supabase service to Google's Gemini service. Notes you include for that review may form part of its instructions. AI card generation sends the selected card photo and applicable pose or reference image with generation instructions. It does not send your entire photo library.
Player AI reviews and card generation require the permission shown for the action, including guardian confirmation for a parent-managed profile. Device camera or photo-library access is separate from permission to send selected media for AI. Free Cards can use the selected original photo without AI generation.
Where enabled, choosing AI file formatting in Coach Studio sends the selected class or roster file, or extracted text, to Google's configured AI service to suggest import rows. This may include names, contact details, notes, class times and locations contained in the file, together with the Coach profile context used for formatting. Sending a file for formatting and saving imported records are separate actions.
Generated card images and generation metadata, including consent and provider/model references, can be stored with the account. Training results and progress can also be saved. Removing an app or dismissing a result is not a request to delete all cloud or provider records.
These AI features use Google's Vertex AI service. Google's handling of requests depends on the configured service and applicable account terms. Google may retain information under the applicable service terms and settings, including for service security. Sending a request does not imply zero retention, immediate deletion by Google or Australian-only processing.
Location, photos and device choices
Player can request device location while in use to find nearby courts. Nearby-court search uses Apple Maps/MapKit with a search region based on the permitted device location or an entered area; Apple geocoding resolves an entered area when needed. A selected court address and coordinates may be included in a game listing; live device location is not a public Player profile field. Class venues and regions may be supplied by a Coach or Organization.
Where venue address search is enabled, the search text and optional country code are sent to Google Places. Opening an external map or payment page also uses that provider's service and privacy terms.
Camera, microphone, photo-library, location and notification permissions can be managed through the device settings. Disabling permission may limit the feature that needs it; it does not by itself delete records already submitted.
Service providers and recipients
We do not sell Player or Coach personal information or share it with data brokers. A provider's inclusion here does not mean every feature is enabled for every user.
- Supabase supplies authentication, database, file storage and server-side functions for the connected services.
- Cloudflare Pages hosts the Tactenza website and processes the requests and connection information needed to deliver it.
- Apple provides iOS platform services, Maps/MapKit search and geocoding, enabled push delivery and StoreKit purchases. Tactenza receives transaction or entitlement information needed to verify access; a class-payment record is separate from an Apple subscription.
- Google supplies the configured Gemini/Vertex AI service for optional Player reviews, card generation and Coach AI file formatting, and Google Places for enabled address searches.
- Stripe processes Tactenza website subscriptions, including Player Premium, Coach Personal Premium and Organization plans where enabled. To provide checkout and subscription management, Tactenza shares the account email and billing identifiers needed for that request with Stripe, and receives subscription, payment and cancellation status and provider references. Card details are entered on Stripe’s payment page. Integrated class payments, where enabled, use the independent class provider’s connected account. An Organization’s external payment destination has its own provider.
- Resend is the implemented service for configured transactional emails. Optional class-update and transfer emails are separately gated and must not be assumed enabled in production. Support messages sent to tactenza@outlook.com use Microsoft's email service.
- Coaches and Organization staff receive information allowed by the relevant class, workspace and permission relationship. Information may also be provided when required for a lawful request or necessary to handle the related safety, security or dispute matter.
Processing outside Australia
The production Supabase project has its primary region in Sydney, Australia (ap-southeast-2). This identifies the primary project region; it does not establish where every function invocation, support access, backup, log or other provider operation is processed.
The service providers named above operate internationally. AI processing, website delivery, email, payment and platform services, support access and provider records may involve processing outside Australia. The primary database region does not guarantee Australian-only processing by these services.
Retention and deletion
Supported in-app controls distinguish deleting cloud data or a profile from deleting a sign-in account. Player also provides Delete Cloud Player Data for a selected owned or guardian-managed profile while keeping the sign-in account. The relevant flow offers export before deletion. The Coach flow can remove Coach data while preserving a sign-in still used by another supported product. Player full-account deletion can instead be blocked by a shared Coach, guardian, PlayBoard or other account relationship; the affected relationship must be resolved through supported steps. The scope and outstanding requirements depend on the action and account shape.
The implemented Player deletion flow removes supported Player-owned records and generated-card storage objects, and redacts or unlinks selected retained safety and Coach-related records. The Coach flow can preserve other-product sign-in access and records needed by an Organization. These controls do not promise to erase independently held Coach or provider records.
Open class-payment requests, payment reconciliation, pending refunds or unresolved payment anomalies can prevent the automated deletion flow from completing. If that happens, contact support so we can identify the outstanding matter, explain the affected scope and arrange the next supported steps. A technical dependency is not itself a reason to retain all account information indefinitely. Terminal payment history can remain with payer or service snapshots for receipts, disputes and reconciliation; a retained snapshot may still contain personal information.
Supported full sign-in deletion uses Supabase soft deletion after the applicable cleanup succeeds. It disables that sign-in while retaining the provider's hashed-user correlation. This is not a promise of immediate erasure of every backup, provider log or transaction record.
We retain account and training information while needed to provide the services you use. When information is no longer needed for that purpose, we assess whether a specific unresolved payment, safety, complaint or legal matter requires limited records to remain. We keep only the information needed for that matter or an applicable retention obligation, and review that need when it ends.
For payment disputes, reports and safety matters, we consider the status of the particular case, any review or appeal, relevant restrictions and applicable obligations. We record the reason for an exception and what would end it. We do not retain all training media or support attachments merely because a future issue is possible.
For support correspondence, we review unnecessary attachments and working copies when the request is resolved. Deletion progress and receipts may remain while needed to complete or resume the operation, verify its result or resolve a specific dispute. A receipt is not proof that every independently held copy has been erased.
Tactenza is responsible for the retention process, including a monthly internal review of outstanding exceptions and review when a matter closes. This is a manual operating process, not an automatic deletion timer or a promised response deadline. Disposal uses supported procedures; records still needed for an unfinished operation are not removed prematurely.
Provider logs, backups, email copies and AI request records follow the applicable service settings and controls. Their retention may differ from application records. We assess a request affecting those records separately and explain any remaining limits; an app deletion result does not confirm erasure from every provider copy.
Local files and exports remain under the control of the device or the person who saved them. Contact support for a privacy request that the available in-app controls do not cover.
Access, correction and complaints
Use the supported account export and profile controls, or contact tactenza@outlook.com to request access or correction or to raise a privacy concern. Include the app, a description of the issue and an account contact that lets us locate the request. Do not send passwords, authentication tokens, private sign-in links or unnecessary information about a child.
Tactenza Support Team handles privacy requests and complaints through the support email above. We use the existing account or authorised relationship for a proportionate identity or authority check where needed before disclosing or changing private information. You do not need to email support before using available in-app deletion controls.
We review the request, explain the information or action it covers and any specific exceptions, and identify the supported next steps. If work cannot be completed immediately, we provide the expected arrangement for that request or explain the dependency and when we will next update you. We check the result before confirming completion, distinguish what remains and explain the reason. This is not a guaranteed response time or an emergency service.
If you are dissatisfied with a privacy response, reply to the support email with the matter reference and what you would like reviewed. Records independently held by a Coach, Organization or payment provider may also require a request to that provider.
You can consult the Office of the Australian Information Commissioner for information about privacy complaints and its jurisdiction. Whether a particular complaint falls within that jurisdiction depends on its circumstances.
